    Salutor’s Back Office module is currently available in three language versions: Polish, English and German.

    The Salutor system has full-text searching to make it easier to find what you need. Additionally, the system is equipped with powerful filtering functions which adjust the current view (participants, registrants, companies, orders, etc.) according to search and filter parameters.

Events

You begin by configuring your events in Salutor so that the registration process and subsequent data downloads are optimized for the type of event. The validity date of the tickets is also defined at this point.

  • Context and configuration

    The context is a tree structure of the content in which events and their attributes can be saved hierarchically. This makes it possible to save data with a given context as well as to download data and the configuration parameters (e.g., participants’ data, tickets, e-mail messages, resources, etc.) of a given event or a group of events.

  • Types of events

    The registration processes are customized according to the type of event (trade fairs, conferences, etc.) in order to collect the relevant participants’ data and to simplify the registration process for users.

Registration

Using the Salutor system, you offer a convenient online registration to all users. If such a need occurs, you can also carry out the registration process directly from the Back Office module or collect and process data specific to visitors and journalists.

  • Configuration

    During the registration process, you define and configure the following parameters:

    • type of registration – What kind of participants do you expect?
    • mode of registration – Will the participants only register themselves or will they also have the right to register their co-workers? Do they have the right to order multiple tickets during one registration process?

    • design and the content on the registration website and on the voucher
    • questionnaires, etc.
  • Unique URL addresses and multiple languages

    The system enables you to prepare the registration process in many language versions, each with independent content. Once configured, the system automatically generates separate and unique URL addresses for the registration in each language version.

  • Managing registrations

    In certain circumstances, you may delete selected registrations and deactivate the whole process of registration. In an inactive configuration, you can change basic data (e-mail addresses, ticket settings, the content of the questionnaires, or the whole layout of the website).

  • Groups of participants

    Depending on the type of event, the participants can be divided into different groups. The registration processes are automatically adjusted to particular groups in order to optimize data input. For example:

    • Journalists - after receiving accreditation, they don’t buy tickets
    • Visitors - they buy tickets or receive promotional tickets
  • Modes of registration

    Salutor provides a choice between different modes of registration:

    • "Self & Other" mode

      This mode allows one to register multiple participants (e.g., colleagues) during one registration process, even while optionally excluding oneself. In this mode, we save time while entering data because a part of the data (e.g., the data of the company or the address) may be the same for all the workers of the organization. It is also enough to make one combined payment for the tickets for all the people registered.

    • "Self" mode

      This registration mode is for one participant only per registration process.

    • “Add to Cart” mode

      This mode of registration is derived from the “Self & Other” mode. The difference is that in this registration process, you order tickets using a “shopping cart.” Then you assign the tickets to particular participants.

    The same mode of registration can be defined in different ways, using programming logic and design.

Questionnaires

The Salutor system can create questionnaires about registration, allowing you to learn interesting information valuable to your marketing strategies. All questions and answers can be written in multiple languages.

  • Lists of questions

    To create a questionnaire in Salutor, you prepare lists of questions. Particular questions can be asked in a questionnaire during registration setup. For each question you can: choose to make the answer mandatory, allow one or more defined answers, made available with either a checkbox (multiple answers) or a radio-button (only one) and decide whether written comments can be part of the answer.

Tickets and payment

  • Ticket management

      When setting up the registration process in Salutor, you can select ticket types from a predefined list and assign them to events or groups of events.

  • Print@Home tickets

    Salutor automatically generates a voucher with all the information about the order, including an integrated ticket with a unique bar code for on-site identification. Registrants can access their voucher-tickets through the link in your confirmation e-mail and can print them at home. The vouchers’ design and content are customizable, for example, to contain information on public transportation.

  • Promotional tickets

    Event organizers or exhibitors can offer visitors promotional tickets, providing free entry to the event. Salutor supports the following functions:

  • Multi-day tickets

    Each type of ticket can be valid for only one or more than one day.

  • Tickets with the option of re-entry

    You can decide whether tickets will enable the visitor to exit and re-enter.

  • Online payment

    Salutor offers online payment using PayPal Express - safe for your customers and simple for you. If you are already working with another online payment provider, we can create a system interface that allows this service to be used within Salutor.

Configuring e-mails

  • Confirmation e-mails

    After registration is complete, registrants receive shipping confirmation and – optionally – a ticket by e-mail.

  • Recipients of confirmation e-mails

    You can define the recipients of confirmation e-mails as registrants, people registering and/or selected individuals from your organization.

  • Languages

    If the registrant and the person registering them come from different countries and communicate in different languages, you can define the confirmation e-mails in different languages.

  • Look & Feel

    The layout of e-mails can be tailored to match the design of your event’s website.

  • Variable content

    Using an e-mail editor, you can change add variables, conditional blocks, graphics, etc. to the template. You can find more information in the description of the e-mail editor.

  • Grouping customers by country of origin

    The content of the e-mails can also be modified based on the registrant’s country of origin in order to meet the needs of different groups of customers.

    Salutor uses a convenient WYSIWYG text editor, which works like familiar word-processing programs and shows you the results while you work. It allows you to easily compose messages by managing message templates.

  • E-mail templates

    You can create and save any number of e-mail templates in different languages to use again later.

  • Variable content

    When sending messages, variable data such as names of registrants, the tickets ordered and their prices, and the unique bar code will automatically be supplied by the database.

  • Iterations

    You can add to the message a list of completed registrations and the purchases made.

  • Multiple languages

    Salutor includes a tool that allows you to create many independent, parallel language versions with your message templates.

  • HTML Editing

    In the message templates, you can use and edit pre-made blocks of HTML code.

  • Graphics

    You can add graphics to the message templates in order to make them more attractive or even to look more like your event’s website.

Back Office module

The Back Office module is available through a web browser and available only to you, the client, through a login ID and password and through a secure encrypted connection.

  • Closed user groups and secure access

    All Salutor clients have an account and login to the administrative Back Office module, which is available through encrypted connections. You can create multiple accounts for different members of an organization, so that those responsible for organizing events can work independently.

Data Management

  • Participants’ data

    The list of participants contains a bookmark linked to detailed data of participants. The data can be filtered, edited or deleted. You can analyze all registrations and orders for each participant and view the defined relationships between the participants and the company.

  • Registrations and orders

    The displayed list can be filtered or used to preview the registration and order data for all registrations connected with the displayed voucher, in all available languages. With the Back Office module, you can remove all registrations or an individual order, order additional tickets for a completed registration or even carry out a new registration.

  • Management of tickets

    You can define tickets independently and connect them to specific events during their range of validity. You can configure different language versions of tickets and display the prices in the appropriate currency.

  • Management of e-mail templates

    You can create e-mail templates in multiple languages, independent of specific events and with their own content. You can use them repeatedly and place them – like tickets – into a context in order to define their validity. For more information on templates and e-mails, see Communication—Setting up e-mails.

  • Resource management

    Resources can also be saved in a context, without being linked to a specific event, in order to define their validity. Resources include text and pictures that are used to create registration pages, vouchers and e-mails, and can also be written in many languages.

  • Lists of questions for questionnaires

    Questions and the responses assigned to them can be created in multiple languages, so they can be used in the questionnaires during registration. More information about questionnaires and lists of questions can be found in Registrations and Questionnaires.

Statistiken

Reports and statistics

The system allows you to generate defined reports containing the following statistics:

  • the number of registrations completed and tickets ordered
  • the number of registrations by country
  • the number of registrations and tickets by day
  • the number of attendees (including the number of tickets)


Statistics are based on actual registration data, which were not manipulated by changes in the master data.

Access control system

Salutor is equipped with a built-in access control system.

  • Ticket Control System

    The Ticket Control System verifies tickets through a bar code printed on them (Print@Home Tickets) and marks them as used in Salutor.

  • Applicable for devices with low resolution

    The system has been optimized for use on low-resolution devices, such as handheld mobile devices.

  • Activity

    The system collects data from entrances and exits for further analysis.
